This privacy notice is for this website, www.nicolaperrycounselling.com. It explains how we comply with the GDPR (General Data Protection Regulation).
The collection of personal data (also referred to as 'personal information') is a necessary requirement in line with the scope of work that Nicola Perry Counselling & Supervision Ltd offers. The purpose of holding and processing of clients’ personal data is to ensure the best possible support and outcome for clients.

What information is kept?

Nicola Perry Counselling & Supervision Ltd will need to request, and keep on file, personal information including name(s), contact details, address(es), relevant personal & medical history and aims of therapy as discussed at the time of initial contact. During subsequent sessions notes are taken to ensure that the counselling progress is tracked and recorded. Evaluation and outcome forms are taken and kept to monitor service impact.

Telephone/SMS number (plus permission to send SMS & leave voice message).

Session summary

How information is stored

Personal information is securely held on password protected electronic systems, and any paper notes are anonymised and securely filed. Deletion of data will be by secure means – erasure off electronic systems and confidential shredding of any paper notes/information.
Storage Methods.

Paper: written notes (described below).

Smartphone: I will store your contact number and first name and initial. This allows me to contact you in case of emergencies.

Email/SMS/: your email address and correspondence will be stored in my email account (currently Gmail) by nature of you contacting me. Your telephone number may be stored by SMS if we exchange messages this way. Electronic correspondence will also be held by the corresponding app (Gmail, Phone's SMS,).

Website: none of your personal information is stored on my website, other than to momentarily collect & send it to my Gmail account for the purposes of our initial contact.

How long is information kept for and why?

When we have finished working together, I will erase electronic copies of your information & correspondence within one month. I will hold onto your written information for up to seven years past the end of our working together. This is so that I have a reference of our work in situations such as you returning to counselling in the future, service evaluation and insurance purposes. After this time has passed, I will shred the written information.

The information that will be kept will be, the number of sessions we had, contact details, evaluation forms, contract & GDPR agreement.



Who will your information be shared with?

Data will only be shared with 3rd parties in the event of a health emergency, a risk to client or public safety, or a need to comply with legal and/or lawful requirements. Data will not be sold, rented, shared with other parties, or used for marketing purposes.

Clients have the right to ask for their personal data to be erased, or amended, and to withdraw consent for it to be held, at any time. Requests will be fulfilled at the earliest possible convenience, and in line with GDPR regulation. However, if there is a legal obligation for the information to be kept then Nicola Perry Counselling & Supervision Ltd reserves the right to over-ride the request(s) on those grounds.

Clients have the right to request copies of information/data held which will be provided free of charge unless an unreasonable number of requests is made. Arrangements for portability of data can be discussed and agreed.

Clients have the right to have their data amended or updated and requests will be fulfilled at the earliest possible convenience, and in line with GDPR regulation.

Your rights

To be informed what information I hold (i.e. this document).

To see the information I hold about you (free of charge for the initial request).

To rectify any inaccurate or incomplete personal information.

To withdraw consent to me using your personal information.

To request your personal information be erased (though I can decline whilst the information is needed for me to practice lawfully & competently).

Therapeutic Will.
Your name and contact details will be shared with my Therapeutic Executor. This is so that you will be contacted on the event of my death, should you still be in therapy with me.
